Once a paper no longer needs to be in your WIP file because action on it is complete, either toss it if you don’t need to keep it, or file it here. Once a year, go through and toss anything you don’t need in your Current Files/Action Taken, or move it to your Archive files.

Archive Files

Again, set up your Archive files alphabetically in a portable plastic lidded bin with hanging file folders and tabs, or in a filing drawer. File anything in there that you need to keep longer than the current year. Taxes and business files would fall into this category, for instance. Plastic bins with lids work well for Archive files because they stack and store easily in a closet and you can quickly pull a bin out into your home office if you need it. Label each bin by year and topic on the outside, and go through your Archive files once a year to make sure you still need them. If you are in doubt about which files to keep in your Archive files and how long to keep them, hire a professional organizer who specializes in filing systems and/or contact your accountant and tax attorney for the most current information.

Resource Files

Resource files are just that: resources you need to do your work or manage your household. For example, research you’ve done on purchasing a new bed, possible publishers for the book you’re going to write, or articles related to a project you’re working on. Set up your Resource files just like I’ve already mentioned. You can also put your resource materials in three-ring binders, or use a combination of both files and binders like I do.

One Last Filing Note

After years of organizing office after office with clients, and after setting up new offices when I’ve changed residences, I still recommend a simple A to Z alphabetical filing system. Label the folders the way they make sense to you, since every family’s file names are different. Remember KISS: Keep It Super Simple!

Mail Mountains

Where does most of the paper that comes into your home and office come from anyway? Why, the mail, of course! Again, to keep paperwork simple, get off as many mailing lists as you can, especially catalog lists since you can find so much information online these days. Also, when my husband and I rented a Postal Annex box I was amazed to find that they sorted out the junk mail flyers for us, substantially limiting the amount of paperwork that came into our home office. I love using their facility and services.
